Numbers ‘09 is Apple’s latest edition of a truly great spreadsheet application. Today Ross Rasmussen, in his low-key style led us through the Numbers interface and key features. Here are some of them.

Spreadsheets are files with a single or multiple related Sheets. “Sheets” are blank slates onto which you drop tables, graphs, graphics and text.

Sheets and their contents – their tables, graphs and graphics, are listed in the left panel where you can easily click to navigate to them, or drag and drop to reorganize them.

To add columns and rows drag the corner tab at the end of a the header column or row or drag the right lower corner to increase both at once.

Move the entire table by clicking and draggling it. Remember, each sheet is a blank slate you add things to. You can even copy and paste a table with formulas into Pages and the formulas will still work. Edit the data in Pages and the calculation updates the data!

Add photos or other graphics by dragging them from your iPhoto library. Drop them into an image placeholder to maintain the layout of your sheet.

Drag and drop comma separated files or open an Excel file right into Numbers. Export files to Number ‘09, 08, PDF, CSV or Excel.

Speed inputting data with drop down menus with options you choose, increasing or decreasing the value with set increments or a slider or changing it to checkboxes.

Copy a cell’s contents down or to the right by clicking the lower right corner and dragging.
Copy two adjacent cells and drag the lower right corner to create an incremental series. This works not only for numbers but also for letters, days of the week or months of the year!

Create formulas by typing “=” to tell Numbers here’s a formula, then click in the cells building the formulas. Instead of just the cell addresses, C1 + D1 Number color codes and displays the headers (labels) instead of cell addresses, for example (2009 Enrollees) – (2009 Withdrawals).

It was very cool! But wait, there’s more. Ross will offer Number 101.1 to go through other features we didn’t even get to. The date and time are to be announced, but if you are interested in that workshop OR iWeb 2, complete the response form and let us know. Please make sure you specify which workshop(s) you are interested in.

www.hmaus.org/meetings-workshops/maclearn/maclearn-registration

You can download a trial copy of iWork ’09 if you don’t have it so you can try it yourself! Hopefully iWork 10 will be out soon.

*******

Coming up next: iWeb 2 on April 10!

September and October are good months for working our Macs and our brains. MacLearn had a series of workshops on iPhoto, iMovie and iDVD and iWork that did just that. Three excellent instructors made it happen! Here’s the run down.

iMovie and iDVD 09 Hands-on Workshop September 5, 2009

Joe Zaret, Apple Solutions Consultant from Best Buy Iwilei presented iMovie and iDVD. He began with a bonus Snow Leopard sneak preview. Then he demonstrated how you can select movie clips, add transitions, create titles and rolling credits and add music with drag and drop ease. You can send your movie to iDVD to create a one click DVD or use one of many templates to easily add a menu, music and graphics.

iPhoto 09 Hands-on Workshop September 12, 2009

Gregg Kamei, one of our skilled and patient HMAUS members presented iPhoto. Participants created albums, edited photos with a palette full of tools, created slideshows, and added titles and keywords to images. If you store your photos in iPhoto you can easily grab them from any other iApp.

iWork 09 Presentation September 26, 2009

Colin Murphy, Apple Solutions Consultant from Best Buy, Aiea presented iWork, Apple’s productivity suite of Pages, Numbers and Keynote. The interface is consistent across all three products, making it easy to know where to look for things. Controls for customizing text, objects and animations are tucked neatly into 10 Inspector palettes. Seven of the 10 Inspectors are the same in all three programs. You learn one, and the others are easy to navigate and use. Colin gave away a copy of iWork ’09 to lucky Dorothy Hallet and Everett Young won a copy of Snow Leopard which he already had. He donated it to the upcoming Mactoberfest on October 24, 2009!

Pages 09 Hands-on Workshop October 3, 2009

Colin Murphy presented a second great workshop, this time a hands-on Pages session. Participants used one of Pages’ 44 templates to type or drag images into. They learned to easily put a border or picture frame around an image, make columns, and create charts and tables. Pages can open, save to and email files in Microsoft Office Word format.

Mahalo to Joe, Gregg and Colin for taking the time to prepare and present these excellent session! Thanks also to those of you who took the time to join us, and to our photographer Norm Hallett.

Handouts for these products can be downloaded from http://drop.io/hmaus_maclearn. We recommend you print from the PDF file rather than directly from this website. These handouts link to Apple’s iLife and iWork video tutorials.

Watch the hmaus.org site for more HMAUS events!

Ross Rasmussen introduced two robust iApps, iMovie and iDVD ’09 to save your memories in an entertaining and professional looking way. In a two hour MacLearn session on August 22nd he took the process from start to finish. He shot some video clips of traffic on Kalakaua Avenue and of Richard Sato dancing, well, gesturing, in front of the green wall upstairs at the ING Direct Café. He imported them as iMovie Events, and from those Events, selected and dragged clips into an iMovie project. Built-in templates, titles and effects made it easy to stitch the clips into a movie. He turned Richard upside and had traffic driving through him on Kalakaua. Howz that?!

He then demonstrated how easy it is to create a DVD with your movies or photo slideshows made with zoom and pan Ken Burns effects. You start with one of about 100 free templates. Then you drag in movies and photos from your media browser. They become links to your media. You format these links as buttons, framed pictures or video clips to create a menu, just like the DVDs you buy at the video store. Add music and just click the Burn button and you have a DVD.

Missed it or want handouts? Go to http://drop.io/hmaus_maclearn to download the iMovie and iDVD handouts.
Mahalo to Ross who not only gave us a great presentation last Saturday, but also provided a very enjoyable hands-on iPhoto workshop two weeks ago for 11 lucky HMAUSers. Mahalo also to Jeff Kang who again provided yet another tech rescue for us, and took these pictures. Finally, thank you to ING Direct for providing us with a super venue.

Did you know that Apple has a wordprocessing, spreadsheet and presentation suite called iWork? Did you know it’s a fraction of the cost of Microsoft Office and can open Office files? Colin Murphy, long time Apple Solutions Consultant from Best Buy Pearl City will show you what these three products can do at our September 26th MacLearn from 10 am -12 pm.

Pages is a wordprocessor and a desktop publisher with templates for newsletters, flyers and cards. Numbers has many auto features that make creating a spreadsheet easy and good looking.

The Magic Move transition feature in Keynote ’09 moves objects seamlessly from one slide to the next. I’ve heard people say “Keynote? It’s like Powerpoint…..but better!” All iWork products have a similar interface making them easy to learn, and they integrate with iPhoto, iTunes and iMovie. Are there things Office can do that iWork cannot? Yes. Will they make a difference to you? Possibly not.

Come to ING Direct Cafe at 1958 Kalakaua Avenue for this free presentation. Come early so you can get parking and pour yourself a cup of coffee or ice tea.

Parking is available but a little tricky so PLEASE check these driving and parking instructions first. Please use the employee lot on Niu St. unless there are lots of spaces behind the Cafe off Pau St. Mahalo.

Btw, if you’re thinking of buying iWork ’09, now’s a good time – it’s $49 at Amazon.com with free shipping. The only place matching that price is the UH Bookstore. It’s also available at Best Buy for $79 with shopping points that convert to discounts. It requires System 10.4 or higher.
